On the home stretch of your PhD?

Congratulations! As soon as your doctoral dissertation has been reviewed and approved for publication, we will be happy to accept it.

Please send us your dissertation by post, addressed to the following address:

You can also drop them off in person during service hours at the University Medical Library or via the yellow box at the entrance to the Georg Forster Building library.
What happens next: You will not receive a confirmation of submission. Your printed copies will be forwarded to the Dissertation Office. The Dissertation Office will certify the submission directly to the Dean's Office of your department. Please ask there for your doctoral certificate.

Is a summary in German and English required? 

This is specified in the Doctoral Regulations of your faculty. 

Can typos be corrected? 

The dissertation should look like the copy submitted for examination. Please clarify any subsequent corrections with the Dean's Office. 

  

Can information be added to the bibliography? 

The printed copies should look like the copy submitted for examination.  

Is the exam date the same as the date of the doctorate or does it mean the date of the oral colloquium? 

For the examination date, please enter the official doctorate date.

How many specimen copies do I have to submit to the university library?

This depends on the form of publication of your doctoral dissertation: 

  • Dissertation published with a publishing house: Submit 2 copies
  • Dissertation published in print

    Submit 4 printed copies, 1 copy in metal-free hardcover binding, 3 copies in softcover binding (2 copies go to the German National Library). 
  • Dissertation published in electronic form

    Submit 2 printed copies, 1 copy in metal-free hardcover binding, 1 copy in softcover binding. 

How many copies do I have to submit if I publish print-on-demand? 

If you publish with a publisher, only 2 printed copies are to be submitted.

 

Is it possible to hand in the specimen copies in-person or can I send them by post? 

The printed copies can be delivered either by post or in-person during service hours at the University Medical Library or via the yellow box at the entrance to the Georg Forster Building library area.

Is double-sided printing possible? 

Yes, please print double-sided. 

What format should my dissertation have?

The formats DIN A4 or DIN A5 are possible. 

Should the cover be embossed? 

No, that’s not necessary. 

How should the copies be bound? 

One copy in a metal-free hardcover binding and one copy in a softcover binding.

Can the print and electronic edition differ?

Print and online editions must be identical. Pages removed for data protection reasons must be replaced with blank pages. 

Can the acknowledgments in the online version be deleted completely or should only the names be deleted? 

You can delete the acknowledgments for the electronic version. However, you may have to insert a blank page so that the printed and electronic versions have the same page numbers. 

How do I deal with personal data, such as the names of supervisors, co-authors or people in acknowledgments?

For the electronic version, either all names must be deleted (or blacked out, made unrecognizable) or the consent of the named persons must be obtained. 

The printed version may contain the names.    

Can I set an embargo on my dissertation?

Yes. However, please note the following information. The electronic version must be uploaded directly to Gutenberg Open Science.

Do I have to submit an electronic version?

This is specified in the Doctoral Regulations of your faculty. 

My abstract is longer than the Doctoral Regulations allow, is this a problem? 

No, uploading your dissertation is still possible. 

My dissertation file is too big to upload.

Which data format do I have to use? 

The electronic version must be in PDF file format (ideally PDF/A). 

The document must not be copy-protected or have access protection via DRM. 

Will my dissertation be archived permanently? 

Your dissertation will receive a permanent internet address and will be archived at the German National Library. This makes it citable and secure for the long term. 

Will my dissertation also be found via Google? 

Yes, the dissertation will be found via search engines. In general, the visibility is significantly increased. The dissertation will also be listed in library catalogs. 

Under which reuse licenses can I publish in Gutenberg Open Science? 

Gutenberg Open Science publishes under copyright law or a Creative Commons license.  More information on this can be found on the Gutenberg Open Science help pages.

Can I publish with a publisher if I have already published via Gutenberg Open Science? 

This is possible. You retain the copyright. You should indicate to a publisher that your work has already been published by us. More information on this can be found on the Gutenberg Open Science help pages.

Can I publish Open Access if my publication is published by a publisher? 

Information on this can be found on the Gutenberg Open Science help pages.

What do I have to watch out for if parts of my dissertation have already been published in journals? 

All publishers and corresponding authors must agree to the publication of their work in writing in the license.

I use images that are copyright-free or for which I have received the rights for non-commercial publication. Do I need written documentation of the acquired rights?

By signing the deposit license, you declare that you are not infringing on any third-party rights.
